The payback period answers the question a CFO always asks first: how long until we recover the investment? Divide total implementation cost (licensing, integration labor, training, change management) by net monthly benefit. If implementation costs $120,000 and monthly net benefit is $10,000, the payback period is twelve months.
The risk in this calculation is the net monthly benefit figure. If it includes capacity released rather than headcount reduced, the denominator may be overstated. Model the payback period using only verified cash changes in the conservative scenario, then add capacity value separately with a clear note on how it was calculated.
Presenting the business case to a board#
A board-level AI ROI presentation needs three elements beyond the numbers. First, a statement of what the organization is not doing by making this investment: the opportunity cost. Second, a description of the downside scenario: what does the organization lose if the model underperforms, the vendor is acquired, or the integration fails?
